2. What Data May Be Shared

Depending on which features you use, the following categories of data may be sent to third-party AI providers:

• Voice and audio data: Voice recordings when you use voice commands, for transcription purposes.
• CRM business data: Relevant CRM record data (such as deal names, contact names, and account information) when you interact with the CRM assistant or use voice commands.
• Communication context: Relationship and activity summaries when using email intelligence features.
• Meeting data: Meeting details when using meeting preparation features.
• Conversation context: Prior messages within a session to maintain continuity in multi-turn interactions.

3. What Data Is Never Shared

We never send the following to third-party AI providers:

• User passwords or authentication credentials
• Payment information (credit card numbers, bank details)
• Social Security numbers or government-issued ID numbers
• API keys or access tokens for your connected integrations
• Data belonging to other OrionEQ tenants (strict tenant isolation is enforced at all times)

4. Data Protection Commitments

We maintain data processing agreements with each AI provider. These agreements require that:

• Providers do not use your data to train, improve, or develop their models.
• Data is encrypted in transit and subject to provider retention limits.
• Providers maintain appropriate access controls and security measures consistent with industry standards.
• Any sub-processors used by providers must meet equivalent data protection standards.

5. Your Consent and Control

• Informed consent: Before using AI-powered features for the first time, you will be presented with a clear disclosure of what data is shared and with whom, and asked to provide your explicit consent.
• Granular opt-out: You may disable specific AI-powered features (voice commands, email intelligence, meeting prep) through your account settings or by contacting your administrator.
• Full opt-out: You may opt out of all AI processing entirely by contacting us at privacy@orioneq.ai. Note that opting out may limit the functionality of certain OrionEQ services.
• Data deletion: You may request deletion of data previously sent to AI providers. We will instruct providers to delete your data in accordance with our data processing agreements.

6. Tailored Agent Development

In addition to our standard agent suite, OrionEQ builds tailored agents for enterprise customers. The same data handling standards described in this policy apply to all agents. If a custom agent requires data sharing with a provider not listed here, we will disclose the additional provider and obtain your consent before deployment.

7. International Transfers

Both OpenAI and Anthropic are based in the United States. Data sent to these providers may be processed in the US. For EU-based users, transfers are governed by Standard Contractual Clauses (SCCs) included in our data processing agreements. You may request a copy by contacting privacy@orioneq.ai.

8. Changes to This Policy

We will update this AI Data Policy when we add new AI providers, change the types of data shared, or modify how data is processed. Material changes will be communicated via email and in-app notification at least 30 days before they take effect. Continued use of AI-powered features after the effective date constitutes acceptance of the updated policy.
